Last updated: 8 November 2026
This policy explains how Makevise Technologies Limited ("Makevise", "we", "us") collects and uses personal data when you visit makevise.com, contact us, or use our products and services. We are committed to protecting your data under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Makevise Technologies Limited, registered in England and Wales, company number 17239533. Registered office: Birmingham, United Kingdom. Contact: hello@makevise.com
1. Our two roles
Controller. For our website, enquiries, marketing and our customer relationships, Makevise decides how and why personal data is used, so we are the controller.
Processor. When a college, training provider or employer uses the Makevise Assessor, the Learner Data Cleaner or our AI workflow services on their own learners' or staff data, that organisation is the controller and Makevise processes the data only on their written instructions under a data processing agreement. If you are a learner, please contact your provider first about your data.
2. What we collect
| Source | Data | Why | Lawful basis |
|---|---|---|---|
| Website visits | Technical data such as IP address, browser type and pages requested, held briefly in server logs by our hosting provider | To deliver and secure the website | Legitimate interests |
| Your device | A small setting that remembers whether you turned sound on or off and whether you dismissed the cookie notice | To remember your choice | Strictly necessary for a service you asked for |
| Enquiries and pilot requests | Name, organisation, job title, email address and anything you tell us | To reply, arrange pilots, training or discovery calls | Legitimate interests, or steps before a contract |
| Customers and accounts | Account email, organisation details, subscription and invoice records | To provide the service, bill and keep accounts | Contract and legal obligation |
| Assessment and workflow services | Learner work and related details supplied by the customer | To deliver the service the customer has contracted | Processed for the customer as controller |
We do not use advertising or analytics tracking on this website, and we do not sell personal data.
3. How we protect learner data
- Names and learner numbers are replaced with hashed tokens before any AI step.
- Files are encrypted at rest with AES-256 and every action is written to an audit log.
- A qualified person reviews and signs off every AI-assisted decision.
- We share our security controls report with a customer's IT and data protection team before any pilot.
4. Who we share data with
We use carefully chosen suppliers who process data on our behalf under written terms:
- Netlify for hosting this website.
- Render and Supabase for hosting and account sign-in for the Learner Data Cleaner.
- Stripe for payments. We never see or store full card details.
- OpenAI for AI processing in assessment and workflow services, using pseudonymised content.
- Google Fonts and jsDelivr, which deliver fonts and code libraries to your browser and receive your IP address when they do.
- Our email provider, accountants and professional advisers, where needed.
Some suppliers are based in, or transfer data to, the United States. Where that happens we rely on the UK Extension to the EU-US Data Privacy Framework or the UK International Data Transfer Addendum.
5. How long we keep it
- Enquiries that do not lead to work: up to 24 months.
- Customer and financial records: six years after the end of the relevant financial year, as required by law.
- Learner data processed for customers: as set in the customer's data processing agreement, and deleted or returned at the end of the service.
6. Your rights
You have the right to access your data, have it corrected or erased, restrict or object to its use, and to data portability. Where we rely on consent you may withdraw it at any time. To use any of these rights, email hello@makevise.com. We will reply within one month.
If you are unhappy with how we handle your data, please contact us first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
7. Changes
We may update this policy as our services change. The date at the top shows when it was last revised.
